Secretary / Administrative assistant Job

Main Tasks & Responsibilities

 Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.

 Organizes work by reading and routing correspondence; collecting information; initiating telecommunications.

 Answering phone calls, taking messages, handling correspondence and redirect them when necessary.

 Manage the daily/weekly/monthly agenda and arrange meetings, conferences and appointments.

 Taking minutes of the meetings English and Arabic. Typing, preparing reports and follow up if required.

 Support and facilitate the completion of regular reports by collecting information.

 Develop and maintain a filing system.

 Make travel arrangements.

 Undertaking receptionist and administrative duties.

 Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.

 Prioritizing workloads.

 Contributes to team effort by accomplishing related results as needed.

Experience and Skills

 Incumbent is required to have 2 years experience as secretary or administrative Assistant

 Strong organizational and presentation skills and attention to detail.

 Ability to plan your own work, work on your own initiative and meet deadlines.

 Ability to manage pressure and conflicting demands and prioritize tasks and workload.

 Ability to accept and understand instructions and oral and written communication skills.

 Tact, discretion and respect for confidentiality.

 Friendly and professional demeanor.
