Job Summary: The HR Admin is responsible for managing all governmental documents and online submissions, supervising the representatives, managing their daily tasks and schedules, and properly distributing the work and visits. This role ensures compliance with all governmental regulations and optimizes the productivity and efficiency of the administrative team.

Key Responsibilities:

1. Governmental Documents Management:(MOSTLY ONLINE MINISTRY SERVICES TASK)

• Prepare, submit, and maintain all required governmental documents accurately and timely.

• Stay informed about changes in governmental regulations and ensure company compliance.

• Handle all paperwork related to employee work permits, visas, and other legal documentation.

2. Online Submissions:

• Manage all online submissions to governmental bodies.

• Ensure timely and accurate filing of documents through relevant online portals.

• Maintain detailed records of all online submissions for audit and compliance purposes.

3. Supervision of Representatives:

• Oversee a team of representatives responsible for various administrative tasks.

• Develop and implement daily work schedules for representatives.

• Monitor performance, providing training and support as necessary.

4. Task and Schedule Management:

• Assign and distribute daily tasks and responsibilities to representatives.

• Ensure tasks are completed efficiently and within set deadlines.

• Coordinate and plan visits to governmental offices or other necessary locations.

5. Work Distribution and Visit Coordination:

• Organize and manage representatives' visits to external offices, ensuring productive and compliant visits.

• Distribute work evenly among representatives to balance workloads.

• Provide guidance and support during visits, documenting any issues or follow- ups required.

Qualifications:

• Bachelor’s degree in Human Resources, Business Administration, or related field.

• Proven experience in HR administration or a similar role.

• Strong knowledge of governmental regulations and compliance requirements.

• Excellent organizational and time- management skills.

• Strong supervisory and leadership abilities.

• Proficient in using online submission portals and office software.

• Strong knowledge of Kuwait governmental processes and documents.

• Good proficiency in reading and writing Arabic.

Skills:

• Attention to detail and accuracy.

• Effective communication and interpersonal skills.

• Ability to manage multiple tasks and meet deadlines.

• Problem- solving skills and the ability to handle sensitive information confidentially.

Working Conditions:

• Office environment with occasional visits to governmental offices or other external locations.
